How to Use the Email Archiver

Choosing your Source and destination pathway

Once you have received the link to the tool from Konekta, if it is your first time, you will need to connect your Actionstep login to your destination database.


When you first click on the link, you simply just need to select which of your databases is the source organisation (ie where the emails are coming from) and which of your databases is the destination (ie where the emails will be moved to). 


**NOTE if you have multiple organisations/databases you may need to reset your token if you are logged into another database by clicking on the Not found an organisation? link and logging into Actionstep again.


Once you have your source and destination databases click validate.


Selecting your matters

On the next window there is a filter option to select matters for a particular data range 

Or you can use the search icon to search for a specific matter id, matter name or for matters assigned to a particular user.


Once you have your filtered list you can either select individual matters by selecting the individual checkbox or you can use the select all switch



Once you have your matters, before you click process ensure that you have selected whether you would like the emails deleted from the source (this is likely to be ticked) and whether you want any existing matters in your destination database updated with new emails or a new matter opened.


Once you have made your selections click process.


You will then be prompted with a confirmation of how many matters will be processed together with the source and destination databases selected.  Once details are confirmed click ok.


You will then receive a confirmation.  

You will also receive an email confirming when the process has been started if there has been a backlog and also when the task is completed.
